Description:

The Department Assistant provides essential support by handling front desk operations, customer service, and administrative tasks within the department. This role focuses on assisting students, faculty, staff, and the general public through phone, email, and in-person interactions.

Responsibilities:

  • Send weekly aviation scholarship emails.
  • Upload all support documentation into the Google Drive.
  • Performing basic office tasks, such as data entry, answering phones, taking messages, sorting mail, maintaining, and updating filing, operating office machines, and arranging equipment maintenance and repairs.
  • Maintaining positive relationships with vendors, clients, and coworkers.
  • Reviewing and updating office procedures to reduce errors and costs.
  • Following and enforcing relevant policies, procedures, and regulations.
  • Ensuring the office runs smoothly.

Qualifications:

  • A High school Diploma.
  • A working knowledge of and experience with administrative and clerical procedures and systems.
  • A good proficiency with computers.
  • Familiarity with office equipment.
  • Dependable communication and interpersonal skills.
  • Excellent planning, organizational, and time management skills.
  • Strong analytical, problem-solving, and critical thinking skills.
  • Ability to prioritize and comfortable working independently.
  • Must be committed to providing outstanding customer service and demonstrate strong interpersonal skills.
